This guide describes E-book and streaming media collection management resources and tips.

Upload Bib Records to IZ

  • Download records from vendor/ WorldCat Collection Manager/ OCLC Connexion
  • Add 856 links or change the links in 856 field if needed
  • Set up an import profiles for the new titles
  • Run a job to add new titles to the Collection

Add 973 field(s)

  • Create a set for records that needs to add 973 fields
    • Use Collection Name and Title Created Date in Advanced Search to create a set
    • Or run extract 035_OCLC_number.py or extract_ISBN.py to get a TXT file of either the OCLC numbers or ISBN of the records that need 973, create a set based on the TXT file. 
  • Create (a) normalization rule(s) for the set
    • For collection that does not have a sub-collection, only one 973 is needed
      • Add 973 collection name
        • Create normalization rule for the collection name
          • Open metadata editor, click 'Rule' on the left
          • Search "GH 973 AddField if not exists MIT" in the Shared Rules, select and right click it, then select duplicate 
          • Right click the duplicated rule to change the property: name, description, and access level (change it from Private to Share)
          • Open it, change the collection name and save it
        • Add a normalization process
          • Click Configuration > Resources > Cataloging > Metadata Configuration
          • Select Marc21Bibliographic in the Active Profile 
          • Click on Normalization Process on the top menu
          • Add a process, fill in name and description, make sure the process is active, then click Next
          • Add tasks, select "MarcDroolNormalization", click "Add and Close," then click Next
          • Find the name of the normalization rule you created from the drop down list, and click Save
          • Click Back on the left bottom corner
        • Run a job 
          • Click Admin > Run a job, find and select the name of the normalization process, Click Next
          • Find and select the set and click Next to run a job
    • For collection that have sub-collection(s), two 973 fields are needed
      • Add 973 collection and sub-collection name
        • Create normalization rule for the collection name (same as the steps above)
        • Create normalization rule for the sub-collection name
          • Open metadata editor, click 'Rule' on the left
          • Search "GH copy collectionname to 973" in the Shared Rules, select and right click it, then select duplicate 
          • Right click the duplicated rule to change the property: name, description, and access level (change it from Private to Share)
          • Open it, the normalization rule copy 245.a to 973.a and remove the period in the end. If the location of sub-collection is different, please change the rule accordingly
          • Save the rule
        • Add normalization process
          • Click Configuration > Resources > Cataloging > Metadata Configuration
          • Select Marc21Bibliographic in the Active Profile 
          • Click on Normalization Process on the top menu
          • Add a process, fill in name and description, make sure the process is active, then click Next
          • Add tasks, select "MarcDroolNormalization", click "Add and Close," then click Next
          • Find and add the name of two normalization rules you created from the drop down list, and click Save
          • Click Back on the left bottom corner
        • Run a job (same as above)
